Get ready before a visit
Ask for everything on a client: who the contact is, which deals are open, at what stage and for how much.
The simplest way to use HubSpot from WhatsApp is Ugo, an AI assistant with its own WhatsApp number: switch on HubSpot on the Ugo portal, sign in with your HubSpot account and from then on you ask it about contacts, deals and tasks in the chat. Notes, tasks and stage changes only go ahead once you confirm.
A CRM is only really useful if it’s up to date, but the moments when the information is fresh are the ones when you’re away from your computer: in the car after a visit, between calls, at a trade show. Opening HubSpot on your phone, finding the deal and filling in the fields is exactly what you put off.
With Ugo, HubSpot becomes a chat: “what do we know about Harper Associates?” before you go in, “add the note and move it to Negotiation” as soon as you come out, by voice note too. Ugo searches your CRM, answers in a few lines and, before changing anything, shows you what it’s about to do and waits for your “Confirm”.
It takes a few minutes. You do the first two steps only once, then you connect as many apps as you like.
Sign up at app.ciaougo.com with your email and password and enter your company name.
In Settings → WhatsApp, generate a code and send it in a chat to Ugo’s number: from then on Ugo recognises your number.
On the Ugo portal, open Skills and connect HubSpot.
Choose your HubSpot account and authorise Ugo with the official sign-in, with no keys to copy. Accept all the permissions requested (contacts, companies and deals): without them, Ugo can’t use HubSpot.
Send “What tasks have I got today?” in your chat with Ugo: if it replies with your HubSpot tasks, the connection works.
Ask for everything on a client: who the contact is, which deals are open, at what stage and for how much.
Ugo summarises deals by stage, with values and close dates, and tells you which ones have stalled.
Dictate how it went: Ugo prepares the note, the follow-up task or the stage change and saves it once you confirm.
Met someone at a trade show? Give Ugo their name, company and details: it first checks whether they already exist, then creates the contact.
Which deals close this month?
You’ve got 3 closing by the end of the month: • Harper Associates 2027 renewal, €6,400 (Proposal) • Taylor Engineering supply, €9,000 (Negotiation) • Robinson Interiors, €2,800 (Qualified)
Create a task: call Taylor on Thursday about the contract
I’ll create the task “Call Taylor about the contract” for Thursday, linked to “Taylor Engineering supply”. Shall I go ahead?
Ugo isn’t the only option. Here are the most common alternatives, and when they make sense.
They can send a WhatsApp message when something happens in HubSpot, such as a new deal, but you need the WhatsApp Business API and some set-up, and you can’t ask your CRM questions.
HubSpot lets you connect a WhatsApp Business number to conversations, to message customers from the CRM. It’s for talking to customers, not for checking and updating the CRM from your phone.
It puts the whole CRM in your pocket, but you have to open it and navigate it as on a computer: handy for looking things up, less so for quick updates.
Ugo also works with the free HubSpot CRM, but Ugo itself is paid: €50 a month per person (or €550 a year), excl. VAT, with HubSpot and every other app included.
No. Contacts, deals, notes, tasks and stage changes are shown to you first, and Ugo only saves them after you tap “Confirm”.
Ugo works with the permissions of your HubSpot user: it sees what you see. When you ask for “your” deals, it filters the ones assigned to you.
Yes, at any time from the Skills page on the portal: access is revoked immediately.
Create your account, link your number and switch on HubSpot from the portal. Every app is included in the subscription.
