The WhatsApp auto reply that understands what customers are asking

A customer messages you “when can we meet?” and Ugo asks for a day and time, checks your diary, books the appointment and thanks them. From your own WhatsApp Business number, while you get on with your work. You build automations from blocks, with no code at all.

WhatsApp Business greeting and away messages always send the same line to everyone. Ugo’s automations do something different: they read the message, work out what it’s about and do what you would do. If Tom asks for an appointment, Ugo books it in your calendar. If Laura asks for her quote, Ugo finds it in the right Google Drive folder and sends it to her.

Each automation applies to one specific contact or to everyone else, and to one type of request: an appointment, a file request, information, an order, support, or a rule you describe in your own words. Inside it you place the blocks you need, one after another: reply, wait, use a skill, offer a choice with buttons, take one path or the other.

Ugo replies as your assistant, never pretending to be you. Important actions can wait for your “Confirm”, and as soon as you reply from your phone the automation stops by itself for that conversation.

How an automation works

Four steps, from the customer’s message to the right reply.

  1. 1

    The customer messages you

On your WhatsApp Business number, the one your customers already know. You keep using the app on your phone as usual.

  2. 2

Ugo works out what they want

It reads the message and picks the right automation for that contact and that type of request. If the message is just a hello, it does nothing.

  3. 3

    The blocks do the work

It replies, asks for anything missing, checks your diary, creates the deal in your CRM, sends the file. One block after another, following the right branch.

  4. 4

    You stay in charge

Actions to confirm reach you on WhatsApp, you can step in whenever you like, and everything is on the portal.

Drag the blocks, join them with a line and write in plain English what Ugo should do. Where a choice is needed, the path splits.

The blocks you can use

A handful of blocks that, combined, cover almost every reply you type by hand today.

Reply

A fixed text or a message Ugo writes from your instructions. It can add an “add to calendar” link for the appointment it has just booked.

Question with choices

Up to 3 buttons or a list of up to 10 rows. Each choice leads to its own branch, plus one for when the customer writes something else.

Skill

Ugo uses your tools: calendar, CRMs such as Odoo and HubSpot, Google Drive, your company website. It asks the customer for anything missing before acting.

Yes/No question

Ugo asks itself a question about the conversation, such as “have they given a day and time?”, and takes the Yes or the No branch.

Wait

A pause before the next step, of up to 12 hours. Handy for a reminder or for following up with the customer later.

Notification

A message to you, in your chat with Ugo, or to the customer. So you know straight away when an important request comes in.

Ask the AI

Ugo writes something from your instructions: a summary of the request, a draft reply, a note for the blocks that follow.

The blue bubbles are the customer; the white ones are the replies sent from your number.

The appointment that books itself

Blocks: calendar Skill, then a Reply with the calendar link.

  1. Hi, when could we meet for the site visit?

  2. Hi Tom, I’m Sarah’s assistant. What day and time would suit you?

  3. Thursday morning around 10, for about an hour

  4. Great, Sarah’s free: I’ve booked you in for Thursday 15th, 10 to 11am. See you then! 📅 Add it to your calendar: calendar.google.com/…

A choice with buttons

Blocks: Question with choices, then one branch per button.

  1. Morning, I was hoping to get some information

  2. Good morning! What can we help with?

  3. Support

  4. Thanks, I’ve let the engineer know: he’ll call you back this afternoon.

The quote sent once you’ve confirmed

Blocks: Google Drive Skill on the Quotes folder, with “Ask me to confirm first”.

  1. Could you resend me the quote for the website?

  2. Of course, I’ll send it over in a moment.

Automatic, but under your control

An automation works for you, not instead of you.

Confirm when you want to

On every block that takes an action you can turn on “Ask me to confirm first”: Ugo messages you with Confirm and Cancel, and the customer gets nothing until you decide.

You reply, it steps back

If you message the customer from the WhatsApp Business app, the automation stops for that conversation. No double replies.

Only the people you choose

Each automation applies to one contact or to everyone else, and only runs for the type of request you set. Switch it off with one click.

Data in Europe

Servers and database are in Frankfurt. Ugo only works with the skills and folders you’ve connected.

Who uses them, and what for

A few ideas to get started, to adapt to your own work.

Sales agents

A customer asks for the price list or their latest quote: Ugo finds it on Drive, sends it over and logs the request as a deal in your CRM.

Firms and professionals

Anyone asking for an appointment taps a button for consultation, renewal or other, and Ugo books the meeting in your calendar.

Trades and installers

For a breakdown, Ugo asks for the address and how urgent it is, lets you know and replies to the customer with the time you’ll be round.

Gyms and personal trainers

Members who want to move a session pick the new time from a list, and Ugo updates your diary.

WhatsApp Business automation: frequently asked questions

How is this different from the WhatsApp Business away message?

The away message always sends the same line to everyone. Ugo’s automations understand what the customer is asking, ask them questions, use your calendar, CRM and documents, and reply differently depending on the request.

Do I need a new number?

No. You connect your WhatsApp Business number from the Ugo portal and keep using the app on your phone. Auto replies go out from that number, the one your customers already know.

Can Ugo send buttons and lists to my customers?

Yes. With the “Question with choices” block you send up to 3 buttons or a list of up to 10 rows, and for each choice you decide what happens next. If the customer writes something else, the automation takes the “Other” branch.

Do automations act on their own or ask my permission?

You decide, block by block. With “Ask me to confirm first”, Ugo sends you the action in its chat with Confirm and Cancel, and waits. Without it, it acts straight away, for example to book an appointment when you’re free.

What happens if I reply to the customer myself?

The automation stops for that conversation and leaves it to you. Ugo never talks over you.

Do I need to know how to code?

No. You pick blocks from a list, join them with a line and write in plain English what Ugo should do. The most common blocks come with ready-made suggestions.

Does it follow WhatsApp’s rules?

Yes. Automations only reply to customers who have messaged you, within WhatsApp’s 24-hour window, and they can’t be used to send mass campaigns.
