Calls & meetings
Message Ugo “record the meeting”: it sends you a link with a big red button. When the meeting ends you get the transcript with who said what, the summary and the to-dos, straight on WhatsApp.

Meetings are where important things get decided, and then half of it slips away: who was sending what, by when, at what price. Taking notes while you talk to a client is awkward, and nobody listens back to an hour of audio.
With Ugo you put your phone on the table and tap REC. When the meeting is over, Ugo transcribes everything, tells the voices apart and messages you on WhatsApp with the summary and the to-dos, with who has to do them and by when. The recording stays in the portal, with the transcript split by speaker and searchable word by word.
It works for face-to-face meetings, for calls on speakerphone and for recordings you already have on your phone: you upload them from the same link.
It all starts with a message to Ugo and ends with a message from Ugo.
Message Ugo “record the call” or “record the meeting with Carter”. It replies with a personal link, valid for seven days.
Open the link on your phone or computer and tap the red button. You can pause, and record for up to two hours at a time, 30 hours a month. Or upload a file you already have.
The audio reaches Ugo while you record. Ugo transcribes it on its own servers, tells the voices apart and works out names from how people address each other.
On WhatsApp you get the title, the summary and the to-dos with owner and due date. Everything else is in the portal, under Calls & meetings.
In the portal every recording has its player, the transcript split by speaker and to-dos to tick off. You tell Ugo who each voice is: you, a contact from your address book or just a name.
2027 supply quote
38:12Sarah (you)
Right, let’s start with next year’s quote: are the quantities the same as this year?
James Carter
More or less, but we’re upping the mature cheddar by 20%. I need the price by Friday.
Sarah (you)
Perfect, I’ll send it on Thursday. In the meantime I’ll ask the warehouse for delivery dates.
To-dos
You ask Ugo for the link, Ugo sends you the summary, and afterwards you can ask it anything about what was said.
I’ve got the meeting with Carter in 5 minutes, record it
Here’s your link: app.ciaougo.com/rec/… 🎙️ Open it, tap the red button and keep the page open. When you’re done, tap the square: I’ll message you with the summary.
🎙️ I transcribed «2027 supply quote» (38 minutes). To-dos: • Send the updated quote (Sarah) — 23 Oct • Ask the warehouse for delivery dates (Sarah) • Confirm the cheddar quantities (James) — 24 Oct
How much more cheddar did James want?
20% more than this year, and he wants the price by Friday. Shall I add it to Thursday’s to-dos?
Anywhere work gets discussed and you then need to remember what was decided.
At the client’s, in the office, at a trade fair: put the phone on the table and tap REC. Ugo tells who is speaking even when there are three or four of you.
Put the call on speakerphone next to the phone that records, or upload the recording made with Zoom, Teams or Meet: the file goes through the same link.
While you walk round the site or the shop you talk freely with the client. Back at the office, measurements, requests and promises are already written down.
Interviews, Monday meetings, handovers: who was there, what was decided and who has to do what.
Courses, webinars and supplier presentations: the transcript is searchable, and Ugo answers your questions about what was explained.
Recording a conversation is serious, and Ugo treats it that way.
Transcription runs on a dedicated Ugo server, without sending the audio to outside transcription services.
Audio and transcripts are kept on servers in the European Union, in private, encrypted storage that only you can see.
Delete a recording from the portal and the audio, the transcript and the to-dos are gone for good.
Before recording, tell the people in the room: it’s the right thing to do and in many countries it’s the law. Ugo never records unless you tap REC.
Message Ugo on WhatsApp “record the meeting” (or “the call”). It sends you a link: open it on your phone or computer, tap the red REC button and, when the meeting ends, the square to stop. Ugo messages you when the transcript is ready.
Yes. The same page has “Upload a recording”: pick the file from your phone or computer (m4a, mp3, wav, ogg, even mp4 video), up to two hours long. Ugo transcribes it as if you had recorded it there.
Up to two hours. A long recording takes a while to transcribe: you don’t have to wait on the page, Ugo messages you on WhatsApp when it’s done.
Each person can record up to 30 hours of calls and meetings a month, included in the price. The hours renew on the 1st of every month, and the portal always shows how many you have left.
It tells the different voices apart and numbers them (Speaker 1, Speaker 2…), and tries to work out names from how people address each other. In the portal you say who each voice is: you, a contact from your address book or just a name. The call then also shows up on the contact’s page.
Ugo doesn’t join calls for you. You can record the call on speakerphone with a second device, or upload the recording made by Zoom, Teams, Meet or your phone.
Yes: keep the page open and the phone unlocked. The page keeps the screen on and sends the audio to Ugo as you go, so if the connection drops you don’t lose the recording.
To servers in the European Union, in private, encrypted storage. Transcription runs on an Ugo server, with no outside services. Only you can see them, and you can delete them from the portal whenever you like.
It depends on the country and the situation: the safest rule is to always tell the people present that you’re recording, and to record only what you need for work. Ugo only records when you tap REC.
Sign up in a few minutes, connect your WhatsApp and ask Ugo for your first link.
