Messages during treatments
Your hands are busy and the phone buzzes. If you don’t reply the client books elsewhere, if you do you interrupt whoever’s in the room. In the evening you catch up on everything, one chat at a time.
A manicure to move, a wax to fit in, the client messaging while your hands are full. Ugo answers bookings from your WhatsApp Business, keeps your diary and sends reminders, while you work in the treatment room. It asks you to confirm before every action, or acts on its own only where you’ve decided.
An app for beauty therapists has to work when you’re wearing gloves and have a client on the couch. That’s why Ugo works on WhatsApp: send it a voice note between treatments, and it uses the diary, email, contacts and folders you’ve connected. It suits the therapist working solo, the salon with several treatment rooms and anyone who also works mobile.
Almost all clients book on WhatsApp: “have you got a slot on Saturday for gel nails?”, “can I move my wax to Thursday?”, “how much is a facial?”. Replying means interrupting the treatment in progress or leaving it all until the evening, when the requests have already turned into twenty. And every treatment has its own length, which has to fit neatly into the diary.
Ugo doesn’t give beauty or skin advice, doesn’t say which treatment is suitable and doesn’t comment on results: you make those assessments, with the client in front of you. It looks after the organising: it books with the right length, moves, reminds clients of appointments, sends the price list and tells you who hasn’t been in for a while. Everything it sends or creates goes out after your “Confirm”, or automatically only where you’ve chosen.
You know how to do the treatments. It’s the phone that won’t stop buzzing.

A manicure, a facial, a full leg wax: every treatment has its own timing. One wrong fit and the day runs late, or you’re left with a useless half-hour gap.
A client who doesn’t turn up is an hour lost, often at the busiest times. Reminding everyone about the next day’s appointment is another job, to do at the end of the day.
Someone who came every month hasn’t been in for three. You notice by chance, and by then you no longer know when you last saw her or what she had done.
Bookings and reminders, while you stay in the treatment room.
With Automations, when a client messages your WhatsApp Business to book, Ugo sends her the list of treatments: facial, manicure, gel nails, pedicure, waxing, massage, other. For each item it knows how long it takes, finds the first free slot in your diary and offers her a time.

Who booked today from the salon number?
Two bookings from the “Appointments” automation: • Martina Gates chose “Gel nails”: booked for Saturday at 10:00, 45 minutes. • Isla Sargent chose “Facial”: booked for Thursday at 17:30, one hour. Both have received confirmation with the salon’s address.
A client asks to move her wax. You send Ugo a voice note: it checks your diary, finds a slot of the right length and drafts the reply, which goes out from your number after you confirm.

I’ll move “Leg wax – Frances Long” from Wednesday at 18:00 to Thursday at 18:30, the only free 40-minute evening slot, and message her from your number: “Hi Frances, I’ve moved you to Thursday at 6:30pm. See you then!” Shall I go ahead?
In the evening you ask Ugo to remind the next day’s clients of their appointment. It drafts a message with time and treatment for each one and sends it from your WhatsApp Business after your OK.

Remind tomorrow’s clients of their appointments
Tomorrow you have 7 appointments. The message will be: “Hi {{name}}, just a reminder of your appointment tomorrow at {{time}} for {{treatment}}. If anything comes up, message me here. See you tomorrow!” Shall I send it to the 7 clients from your number?
Ugo checks your diary for when you last saw each client and tells you who hasn’t been back for more than two months. You decide who to write to, and in what words.

Who hasn’t been in for more than two months?
From your diary, these clients haven’t had an appointment for more than two months: 1. Rebecca Fenton – last visit 4 August, facial 2. Alice Barber – 28 July, gel nails 3. Grace Tate – 21 July, pedicure Shall I draft a hello for each of them, to send from your number?
Treatments, clients and diary, with an office assistant in your phone.
Ugo sends you the day’s appointments, with the treatment and length of each one.
While you’re in the treatment room, the automation on your WhatsApp Business sends the list of treatments to anyone who wants to book and fills free slots.
A client asks to move: you send a voice note and Ugo finds a slot of the right length.
A new client asks about prices: Ugo sends her the PDF price list from your folder, after your OK.
You ask for tomorrow’s reminders and Ugo sends them from your number.
At the start of the month, a scheduled task lists clients who haven’t been in for more than two months.
A few tools, the ones you already use. Ugo brings them together on WhatsApp.
With Automations Ugo answers bookings with a list of treatments, up to 10 items, from the number your clients already know. If you reply yourself from the app, it stops for that conversation.
Google Calendar or Outlook, with one calendar per treatment room or therapist. Ugo creates appointments with the length of each treatment and warns you about overlaps.
On Google Drive or OneDrive: price list, this month’s offers, consent forms and aftercare sheets you use in the salon. Ugo finds them and sends them after you confirm.
With Company websites, Ugo reads the pages of cosmetics and equipment manufacturers and summarises the information published about a product, with a link to the page.
The most useful Ugo features for this job, starting with the first one to turn on. You switch them on from the portal in a few minutes.
It depends on how you work. Online booking apps ask clients to download something or sign up; Ugo instead replies where they already message you, on your WhatsApp Business, with the list of treatments and your Google or Outlook diary. For tills and stock, your salon software stays.
No. Ugo doesn’t give beauty advice, doesn’t assess skin and doesn’t say which treatment is suitable: you decide that, with the client in front of you. If a client asks that kind of question, the automation takes the “Other” branch and the conversation stays with you.
You choose, automation by automation: you can have the appointment booked straight away or ask for your “Confirm” first. When you reply yourself from your phone, the automation stops for that conversation.
Ugo isn’t a tool for mass campaigns on WhatsApp. It can send an email to your list, if clients have given their consent, and message the clients you choose from your number, one by one, within WhatsApp’s rules.
That’s exactly what it’s built for: if you work alone you don’t have a receptionist, and Ugo fills that role. If you work mobile, Maps also works out travel times between appointments.
Associations, bodies and official sources for the sector: external websites, independent of Ugo.
Connect your diary, price list and WhatsApp Business in a few minutes. Clients book while you work, and reminders go out with a tap.
