Sales and technical sales
Customer history, quotes, samples sent and application trials, on WhatsApp between one visit and the next. A sample request dictated in the car becomes an email for the lab and an activity in the CRM.
In the chemical industry WhatsApp is already used by customers, reps, technical service staff, suppliers and hauliers. Ugo turns it into a work tool: you type or send a voice note, and it finds safety data sheets, technical data sheets and certificates of analysis, drafts emails to customers, updates the CRM, keeps the diary of audits and shipments and reports faults to maintenance. It asks you to confirm before every action.
At a chemical company questions come from every direction, and often on WhatsApp. The customer asks for the latest SDS for the resin, the paint shop wants to know the drying time of the primer, the rep sends a sample request from the car park, the haulier asks what time to load the tanker, the shift leader sends a photo of a leaking pump. The answers are somewhere else: in the regulatory and lab folders, in the ERP, in emails, in production spreadsheets.
Ugo is a contact on WhatsApp connected to the tools the company already uses: Google Workspace or Microsoft 365, email, contacts, folders on Drive or OneDrive, a CRM such as Odoo or HubSpot, monday.com for maintenance and projects, Zendesk for technical support. Everyone uses it from their own phone, with their own accounts: sales for customers and samples, technical sales for application trials, the lab for certificates, maintenance for jobs. With Automations on the company’s WhatsApp Business, Ugo also replies to customers, asks for whatever is missing and alerts the right person.
Ugo doesn’t write or validate safety data sheets, doesn’t classify substances and mixtures and doesn’t replace your SHE manager, your dangerous goods safety adviser or the ERP. It finds, summarises, prepares and reminds. Every email, message or document goes out only after your “Confirm”.
Who uses it in the company
Every department has its own questions. Ugo answers each one with their own tools.
Customer history, quotes, samples sent and application trials, on WhatsApp between one visit and the next. A sample request dictated in the car becomes an email for the lab and an activity in the CRM.
SDSs in several languages, REACH and RoHS declarations, CLP labels, customer questionnaires: Ugo finds the published version and sends it once you give the OK. Writing and updating them is still your job.
Certificates of analysis by batch, technical data sheets, test results and calibration due dates: found in a minute. Non-conformances dictated by voice go into the log once you confirm.
The shift leader sends a voice note about the leaking pump or the reactor stopping and Ugo opens the item on the maintenance board. Procedures, permits to work and manuals are on your phone.
Loading slots in the diary, hauliers’ and customers’ questions about deliveries, routes to depots with live traffic. Transport documents stay with the people who complete them.
Raw material supplier offers summarised, delivery emails found, incoming SDSs and certificates searched for in the right folders. So you know straight away what the solvent supplier has said.
Real conversations, typed in a hurry the way people type on WhatsApp.
The customer asks for the SDS for a product. Ugo finds it in the regulatory folder, tells you the version, date and language, and emails it to the customer once you confirm.

Bennett Bodyshop want the SDS for the DN-40 cellulose thinner, latest version
In the folder “Regulatory/SDS/EN” there’s “SDS DN-40 Cellulose thinner v7.2.pdf”, revised on 3 June 2026, in English. Shall I send it to Simon Bennett (info@bennettbodyshop.co.uk) together with the technical data sheet?
Leaving the customer, the technical sales rep sends a voice note. Ugo drafts the email for the lab with product, quantity and specs, creates the opportunity in the CRM and sets a reminder for after the trial.

Here’s what I’ll do: • Email to lab@penninechem.co.uk: “Riley Furniture: 5 kg sample of PVA adhesive AV-210, fast-setting grade, with certificate of analysis, to ship by Friday” • Opportunity “Riley Furniture – edge-banding adhesive” in Odoo • Activity “Check with Riley on the trial result” in two weeks Shall I go ahead?
A customer reports an application problem. Ugo finds the ticket in Zendesk, summarises the conversation and replies to the customer once you confirm, adding an internal note for the lab.

What are Collins Coatings saying about the epoxy primer?
Ticket #4821, opened yesterday: primer FE-12, batch 26-0915, is still tacky after 24 hours at 12 °C in their unit. I’ll prepare: • Reply to Collins: “Could you send us the application temperature and humidity and the mixing ratio you used? Ellen Cole from our lab will call you tomorrow” • Internal note: “Check the certificate of analysis for batch 26-0915” Shall I go ahead?
The shift leader describes the problem out loud. Ugo creates the item on the monday.com maintenance board with plant, component and priority, and assigns it to the engineer on shift.

Automations on your number
Bodyshops, cleaning contractors and stockists message the company’s WhatsApp Business. An automation replies with three buttons: Order, SDS and data sheets, Technical support. For a data sheet Ugo finds it in the regulatory folder and sends it once you give the OK; for support it collects product and batch and alerts the technician.
The blue bubbles are the customer, the white ones are the replies sent from the company’s WhatsApp Business number.

SDS requests, stockist orders, technical issues: Automations reply from the WhatsApp Business number your customers already know and only alert you when it’s needed.
Discover Your WhatsApp BusinessSafety data sheets in several languages, technical data sheets, certificates of analysis and declarations: Ugo searches by name or content, reads PDFs and fills in your templates, such as the reply to a supplier questionnaire.

To reply to customers, take sample requests from reps, keep up with suppliers and hauliers and report problems on the plant. With Ugo everyone can also ask for data sheets, appointments and customer details in the chat, and the company’s WhatsApp Business answers the most common requests by itself, such as safety data sheets.
Yes. It finds them in the folder you choose on Google Drive or OneDrive and sends them by email or from the company’s WhatsApp Business. If you turn on “Ask me to confirm first” in the automation, no data sheet goes out without your OK. Ugo sends the file it finds: writing and updating SDSs is still the job of regulatory affairs.
No, not in place of the SDS or your technical staff. It can find the right sheet and quote what it says, but handling, protective equipment and first aid information must always be read in the SDS and, if anything needs clarifying, given by your SHE manager or regulatory affairs.
It connects to Odoo (versions 14 to 19) as a CRM, to HubSpot, Zoho CRM and Agile CRM, to monday.com and Zendesk, and to any app with an MCP server. With other systems it works through emails and documents: for example, it drafts the order email for whoever enters it in the ERP.
Ugo costs €50 a month or €550 a year per person, excluding VAT, with every skill included. You only switch it on for the people who use it: for example sales, regulatory affairs and technical support, not necessarily the whole site.
