How can I use WhatsApp for my work in the pharmaceutical industry?

In the pharmaceutical industry, reps, area managers, key account managers, logistics teams and suppliers already use WhatsApp. With Ugo it becomes an organisational work tool: you type or send a voice message, and it plans visits, finds approved documents, summarises emails, keeps track of deadlines and follows shipments and events. It doesn’t handle patient data and doesn’t give medical information. It asks you to confirm before every action.

At a pharmaceutical company, work runs on many tracks at once. The rep fits surgeries in between one call cycle and the next, the key account manager looks after hospital pharmacies, NHS trusts and regional tenders, regulatory affairs chase variation deadlines, logistics coordinate wholesalers and temperature-controlled shipments, medical affairs organise congresses and educational meetings. A lot of this goes through WhatsApp, but the useful information sits in email, shared folders and everyone’s own spreadsheets.

Ugo is a WhatsApp contact connected to the tools the company already uses: Microsoft 365 or Google Workspace, email, calendar, folders on OneDrive or Drive, monday.com for projects and events, and the company CRM if it offers an MCP server. Everyone uses it from their own phone, with their own accounts and permissions: the rep for diary and call reports, logistics for shipments, regulatory for deadlines and correspondence.

The sector is regulated and Ugo stays in its lane. It doesn’t handle patient data and doesn’t collect adverse event reports, which always go to the company’s official pharmacovigilance channels. It doesn’t give medical or therapeutic information, doesn’t write promotional material and doesn’t replace validated GMP systems, batch records or batch certification by the Qualified Person. It organises, finds, summarises and reminds. Every email, message or update goes out only after you tap “Confirm”.

Who uses it in the company

Who uses WhatsApp with Ugo at a pharmaceutical company

Different roles, same rules: Ugo helps each of them with the organisational side of the job.

Medical reps and area managers

Visits fitted around surgery hours, routes with live traffic, approved materials found in the right folder, call reports dictated by voice. Every Monday the area manager gets a summary of their week.

Hospital key account managers

Hospital pharmacies, NHS trusts and regional tenders: Ugo summarises formal letters and emails with their dates, creates reminders in the diary and keeps the account plan up to date after every meeting.

Regulatory affairs

Requests from the regulator and deadlines for variations and renewals, found in the inbox and put in the calendar. Ugo finds the right correspondence and tells you what was asked and by when, without touching the dossiers.

Quality, GMP and manufacturing

Reference copies of procedures and work instructions, supplier audits in the diary, work on utilities tracked on monday.com. The official documents stay in the validated system.

Supply chain and distribution

Shipments to pre-wholesalers and wholesalers, carrier delays, delivery slots: Ugo updates the shipments board and drafts emails to customers once you say so.

Medical affairs and educational events

Congresses, CPD meetings and speaker briefings: venues, organisational deadlines, registrations and event logistics tracked on a board, without going anywhere near the scientific content.

Examples of using WhatsApp in the pharmaceutical industry

Everyday organisational situations. No clinical information in the chat.

This week’s visits, in the right order

The rep asks Ugo for the free slots between surgeries and the travel time with live traffic. Ugo suggests the best order and creates the appointments you confirm.

The hospital pharmacy meeting, in the account plan

The key account manager leaves the meeting and sends a voice message. Ugo adds the organisational notes to the account plan file and creates a reminder for the next deadline.

The regulatory deadline, found in the inbox

Regulatory affairs ask Ugo what the regulator wrote about a variation. Ugo finds the email, summarises dates and requests and puts the deadline in the calendar. The content of the response stays with the regulatory team.

Automations on your number

Pharmacies message the company number, Ugo sorts the requests

Community pharmacies message the customer service WhatsApp Business. An automation replies with three buttons: Orders and deliveries, Display materials, Other. For an order it collects the details and alerts customer service. For any question about a medicine or a possible side effect, the reply you’ve written yourself points to the company’s medical information service and official pharmacovigilance channels.

The blue bubbles are the customer, the white ones are the replies sent from the company’s WhatsApp Business number.

What Ugo does not do

Ugo organises messages, calendars, emails and documents. Everything else stays with your systems and your people.

  • It doesn’t handle patient data and doesn’t collect adverse event reports: pharmacovigilance always goes through the company’s official channels.
  • It doesn’t give medical or therapeutic information, doesn’t provide scientific information to healthcare professionals and doesn’t create promotional material: it only finds materials that are already approved.
  • It doesn’t replace validated GMP systems, qualified document management, batch records or batch certification by the Qualified Person.
  • It doesn’t run mass campaigns on WhatsApp: automations reply to whoever messages, within WhatsApp’s 24-hour window.

Questions about WhatsApp and Ugo in the pharmaceutical industry

How do you use WhatsApp for work at a pharmaceutical company?

To coordinate visits and area meetings, follow shipments, wholesalers and events and stay in touch with colleagues and suppliers. With Ugo everyone can also ask for appointments, approved documents, emails and deadlines in the chat. The company’s and the industry’s rules stay exactly as they are: WhatsApp carries organisational information, not patient data.

Can Ugo answer questions about a medicine or collect side effect reports?

No. Ugo doesn’t give medical or therapeutic information and doesn’t collect pharmacovigilance reports. In the automations on WhatsApp Business you can write a reply that points to the medical information service and the company’s official channels for reporting.

Does Ugo connect to a pharma CRM or to GMP systems?

It connects to any app that offers an MCP server, as well as Odoo, HubSpot, Zoho CRM, Agile CRM, monday.com and Zendesk. It doesn’t connect to validated manufacturing and quality systems, and doesn’t replace them: it works with the email, diary, folders and boards you choose.

How is data handled?

Servers and database are in Frankfurt. Ugo works with each user’s permissions, only accesses the folder you choose on Drive or OneDrive and only replies to verified WhatsApp numbers. Voice messages, up to 90 seconds, are transcribed on Ugo’s servers in Europe and the audio is not kept. Always follow your company’s internal procedures too.

How much does Ugo cost for a company?

Ugo costs €50 a month or €550 a year per person, excluding VAT, with every skill included. You only switch it on for the people who use it: for example the field force and logistics, not necessarily the whole company.

The rules stay, the wasted time goes

Connect diary, email, folders and boards in a few minutes. Reps, key account managers and logistics organise their work in the chat, and the scientific side stays where it belongs.
