How to connect Agile CRM to WhatsApp

The simplest way to use Agile CRM from WhatsApp is Ugo, an AI assistant with its own WhatsApp number: on the Ugo portal you enter your Agile CRM address, your email and your REST API key, and from then on you ask it about contacts, deals and tasks in the chat. Notes, tasks and milestone changes only go ahead once you confirm.

Why connect Agile CRM to WhatsApp

In Agile CRM you track contacts, deals and tasks, but after a visit or a phone call you rarely feel like opening it on your phone to write a note or move a deal. And so the CRM falls a few days behind.

With Ugo you update it from the chat: “I’ve sent Robinson the price list, move the deal to Proposal”. Ugo finds the right deal, shows you the change and waits for your “Confirm”. And when you need some information, you ask it as you would a colleague.

How to connect Agile CRM to WhatsApp, step by step

It takes a few minutes. You do the first two steps only once, then you connect as many apps as you like.

  1. 1

    Create your Ugo account

Sign up at app.ciaougo.com with your email and password and enter your company name.

  2. 2

    Link your WhatsApp

In Settings → WhatsApp, generate a code and send it in a chat to Ugo’s number: from then on Ugo recognises your number.

  3. 3

    Switch on Agile CRM

On the Ugo portal, open Skills and tap “Connect Agile CRM”.

  4. 4

    Copy your REST API key

In Agile CRM you find it under Admin Settings → Developers & API (or API & Analytics).

  5. 5

    Enter address, email and key

Your Agile CRM address (for example yourcompany.agilecrm.com), the email you sign in with and the key. Tap “Check and save”: Ugo checks the login and stores the key encrypted.

  6. 6

    Message Ugo on WhatsApp

Send “What tasks have I got open?” in your chat with Ugo: if it replies with your tasks, the connection works.

What you can do with Agile CRM on WhatsApp

Everything on a contact

Ugo gives you a contact’s details, company and deals before you call them.

The pipeline by milestone

It summarises the deals in each pipeline by milestone, with values and the latest notes.

Outstanding tasks

It reminds you of open tasks and creates new ones, linked to the contact or deal.

Notes and progress after a visit

It adds notes and moves deals between milestones, all the way to Won or Lost, once you confirm.

The first messages to send

  • What tasks have I got open?
  • How’s the pipeline looking?
  • Add a note on Patel: call back in January
Ugoonline
  1. What do we know about Patel & Co?

  2. Patel & Co: contact Raj Patel, purchasing, 07700 900789. Deal “Supplies 2027”, €5,600, milestone Proposal. Latest note: “Waiting for the year-end budget”.

  3. Add a note: call back in January

  4. I’ll add this note to Raj Patel: “Call back in January.” Shall I go ahead?

What Ugo doesn’t do (yet)

  • It doesn’t delete contacts, companies or deals.
  • It doesn’t send emails or campaigns to your contacts from Agile CRM.
  • It doesn’t change anything without your “Confirm”, and prepares one change at a time.

Other ways to connect Agile CRM to WhatsApp

Ugo isn’t the only option. Here are the most common alternatives, and when they make sense.

Automations with Zapier or Make

They can send a WhatsApp message when something changes in Agile CRM, but you need the WhatsApp Business API and some set-up, and you can’t ask your CRM questions.

A custom integration

With the Agile CRM REST API and the WhatsApp Business API, a developer can build whatever you want, but it takes time and maintenance.

Agile CRM in your phone’s browser

It works, but you navigate it as on a computer: handy for looking things up, less so for quick updates.

Questions about Agile CRM and WhatsApp

Can I connect Agile CRM to WhatsApp for free?

Agile CRM doesn’t offer a direct connection with WhatsApp for checking the CRM. Ugo costs €50 a month per person (or €550 a year), excl. VAT, with Agile CRM and every other app included.

Do I need to register an app in Agile CRM?

No. All you need is your Agile CRM address, your email and your REST API key, which you find in your account settings.

Where is the API key stored?

In Ugo’s database in Frankfurt, encrypted. It’s deleted when you disconnect the skill from the portal.

Does Ugo change the CRM without asking me?

No. Contacts, deals, notes, tasks and milestone changes are shown to you first, and Ugo only saves them after you tap “Confirm”. It works with your Agile CRM user’s permissions.
