Word from your templates
Proposals, contracts, letters: Ugo fills in templates with placeholders like {{client}} and keeps your layout, or writes a new document.
OneDrive has no direct connection to WhatsApp. The simplest way is Ugo, an AI assistant with its own WhatsApp number: sign in with your Microsoft account on the portal, choose the folder it can work in, and from then on you ask it in the chat what your files say, have it fill in a Word document from your template or add rows to an Excel sheet, once you confirm.
The expenses sheet, the price list, the proposal template: if you work with Microsoft 365, they’re on OneDrive. But updating an Excel sheet or filling in a Word document on your phone, with tiny cells and formatting that goes haywire, is the last thing you want to do between clients.
By connecting OneDrive to WhatsApp with Ugo, you write “add to the expenses sheet: client lunch €42” or “prepare the proposal for Harper from the template”, and Ugo prepares the change. Before writing anything to your files, it shows you what it’s about to do and waits for your “Confirm”.
It takes a few minutes. You do the first two steps only once, then you connect as many apps as you like.
Sign up at app.ciaougo.com with your email and password and enter your company name.
In Settings → WhatsApp, generate a code and send it in a chat to Ugo’s number: from then on Ugo recognises your number.
On the Ugo portal, open Skills and tap Connect on the OneDrive card.
Choose your Microsoft account and allow Ugo to read and create files. If you’ve already connected Outlook, use the same account.
Pick the folder Ugo can work in, “Clients” for example: it reads and changes files only inside it and its subfolders. If you prefer, choose “Use my whole OneDrive”.
Ask to see a file, the price list for example: if Ugo shows it to you, the connection works.
Proposals, contracts, letters: Ugo fills in templates with placeholders like {{client}} and keeps your layout, or writes a new document.
It adds rows to a table or updates cells: the day’s expenses, the visits you’ve made, the orders you’ve taken.
Ugo finds the file and tells you what’s in it, from Word, Excel, PDF and other formats.
An Excel sheet arrives on WhatsApp as an image, neat and readable on your phone.
Add to the expenses sheet: lunch with the client Harper, €42
I’ll add a row to “Expenses 2026.xlsx”, October sheet: 12/10 · Client lunch Harper · €42.00 Shall I go ahead?
Now prepare the proposal for Harper Associates from the Standard proposal template, 12 licences
I’ll create “Proposal Harper Associates.docx” in the Proposals folder, from the “Standard proposal” template, with client Harper Associates and 12 licences. Shall I go ahead?
Ugo isn’t the only option. Here are the most common alternatives, and when they make sense.
They do everything, but on a small screen filling in a template or updating a spreadsheet is still awkward.
Microsoft’s assistant works on Word and Excel inside the apps, if your licence includes it, but not from WhatsApp.
They can add rows to an Excel sheet when something happens, but they need setting up and, for WhatsApp, the WhatsApp Business API.
Microsoft and WhatsApp don’t offer a direct connection. Ugo costs €50 a month per person (or €550 a year), excl. VAT, with OneDrive and every other app included.
Yes. Put placeholders in double curly brackets in your template, such as {{client}}: Ugo creates a copy of the document with the details in the right places, keeping your layout.
No. Before creating a document, adding rows or updating cells, it shows you what it’s about to write, and only goes ahead after your “Confirm”.
Only if you choose so. When you connect the skill you pick a folder: Ugo works only inside it and its subfolders.
Create your account, link your number and switch on OneDrive, Word and Excel from the portal. Every app is included in the subscription.
