Your diary in one question
Ask for today’s meetings, tomorrow’s or any day’s, with times and places.
The Outlook calendar has no direct connection to WhatsApp. The simplest way is Ugo, an AI assistant with its own WhatsApp number: sign in with your Microsoft account on the Ugo portal, choose your calendars, and from then on you ask it in the chat what meetings you have and have it create new events, once you confirm.
If you work with Microsoft 365, your diary is full of meetings, calls and visits, and when you’re out of the office you check it on your phone: to see where you need to be, to find a free hour, to note down a meeting you’ve just arranged. Each time it’s the Outlook app to open and the week to scroll through.
By connecting Outlook Calendar to WhatsApp with Ugo, a message is all it takes: “what meetings have I got tomorrow?”, “block out Friday from 9 to 10”. Ugo answers in a few lines and, before adding anything to your calendar, shows you the event and waits for your “Confirm”.
It takes a few minutes. You do the first two steps only once, then you connect as many apps as you like.
Sign up at app.ciaougo.com with your email and password and enter your company name.
In Settings → WhatsApp, generate a code and send it in a chat to Ugo’s number: from then on Ugo recognises your number.
On the Ugo portal, open Skills and tap Connect on the Outlook Calendar card.
Choose your Microsoft account and allow Ugo to read your calendar and create events. If your company requires an administrator to approve new apps, Microsoft tells you at this point.
Pick which calendars Ugo can read and which one it should add new appointments to. You can change them whenever you like with Choose calendars.
Send “What meetings have I got tomorrow?” in your chat with Ugo: if it replies with your appointments, the connection works.
Ask for today’s meetings, tomorrow’s or any day’s, with times and places.
Ask when you’ve got a free hour before suggesting a meeting to a client or a colleague.
Say what, when and where: Ugo prepares the event and adds it once you confirm, from a voice note too.
With scheduled tasks, Ugo sends you the day’s appointments at the time you choose, without you having to ask.
What meetings have I got tomorrow?
Tomorrow you’ve got: • 9:30 Sales meeting, on Teams • 12:30 Lunch with Harper Associates, Manchester • 17:00 Call with the supplier You’re free from 14:00 to 17:00.
Put in the review of the Patel quote tomorrow at 15:00
I’ll create “Patel quote review” tomorrow from 15:00 to 16:00. Shall I go ahead?
Ugo isn’t the only option. Here are the most common alternatives, and when they make sense.
They can send a WhatsApp message when an event is about to start, but you need the WhatsApp Business API and some set-up, and you can’t ask your calendar questions.
Outlook alerts you before every meeting, but only for events already in your diary, and outside WhatsApp.
They let clients pick a free slot and get a confirmation, but they’re for the people booking, not for you to check and manage your own diary.
Microsoft and WhatsApp don’t offer a direct connection. Ugo costs €50 a month per person (or €550 a year), excl. VAT, with Outlook Calendar and every other app included.
It depends on your company’s rules: some organisations require an administrator to approve new apps. If so, Microsoft tells you when you sign in.
No. It shows you the event’s title, day, time and place, and only creates it after you tap “Confirm”.
Yes. The two skills are independent: you can switch both on from the portal and ask Ugo about the appointments in both calendars.
Create your account, link your number and switch on Outlook Calendar from the portal. Every app is included in the subscription.
