How to connect Outlook to WhatsApp

Outlook has no direct connection to WhatsApp. The simplest way is Ugo, an AI assistant with its own WhatsApp number: sign in with your Microsoft account on the Ugo portal and from then on you ask it in the chat for your unread emails, have it summarise messages and write your replies, which only go out once you confirm.

Why connect Outlook Mail to WhatsApp

With Microsoft 365, email is the centre of your day: quotes, order confirmations, client requests. When you’re out, opening Outlook on your phone to work out what’s urgent and write a decent reply takes more time than it seems.

By connecting Outlook to WhatsApp with Ugo, you ask “summarise my unread emails” and know at a glance what matters; you say what to reply and Ugo writes the email. You connect with Microsoft’s official sign-in, without giving Ugo your password, and nothing goes out before your “Confirm”.

How to connect Outlook Mail to WhatsApp, step by step

It takes a few minutes. You do the first two steps only once, then you connect as many apps as you like.

  1. 1

    Create your Ugo account

Sign up at app.ciaougo.com with your email and password and enter your company name.

  2. 2

    Link your WhatsApp

In Settings → WhatsApp, generate a code and send it in a chat to Ugo’s number: from then on Ugo recognises your number.

  3. 3

    Switch on Outlook Mail

On the Ugo portal, open Skills and tap Connect on the Outlook Mail card.

  4. 4

    Sign in with Microsoft

Choose your account and allow Ugo to read and manage your email. Ugo never sees your password; if your company requires an administrator’s approval, Microsoft tells you at this point.

  5. 5

Add calendar and contacts, if you like

Outlook Calendar, Outlook Contacts and OneDrive use the same connection to your Microsoft account: you can switch them on from the same page.

  6. 6

    Message Ugo on WhatsApp

Send “Summarise my unread emails” in your chat with Ugo: if it replies with your emails, the connection works.

What you can do with Outlook Mail on WhatsApp

Unread emails, summarised

Ugo tells you what’s come in, who’s waiting for a reply and what a long email says, in a few lines.

Replies ready to approve

Give the gist in a sentence or a voice note, and Ugo writes the reply: you read it and send it with one tap.

Forward to a colleague

Ask it to pass an email on to someone: with Outlook Contacts switched on, Ugo finds the address in your contacts.

Archive and clear out

Archive, move, mark as read or delete the emails you don’t need, once you confirm.

The first messages to send

  • Summarise my unread emails
  • Have Harper Associates replied about the quote?
  • Forward the bank’s email to Mark
Ugoonline
  1. Have Harper Associates replied about the quote?

  2. Yes, this morning at 9:12, Emma Clarke: the quote is fine, but she’d like to move delivery to the following week and pay in two instalments.

  3. Reply that both are fine, and archive the email

  4. 1. Reply to Emma Clarke: “Dear Emma, both delivery the following week and payment in two instalments are fine. Kind regards.” 2. Move the email to Archive. Shall I go ahead?

What Ugo doesn’t do (yet)

  • It doesn’t open attachments: it tells you their names, but doesn’t read what’s inside.
  • It doesn’t attach files to the emails it writes, and when it forwards an email the attachments don’t go with it.
  • It works only on your own mailbox, not on shared mailboxes or your colleagues’.

Other ways to connect Outlook Mail to WhatsApp

Ugo isn’t the only option. Here are the most common alternatives, and when they make sense.

Automations with Power Automate, Zapier or Make

They can send a WhatsApp alert for emails from certain senders, but you need the WhatsApp Business API and some set-up, and to reply you go back to Outlook.

The Outlook app and its notifications

It tells you when an email arrives and lets you reply from your phone, but you have to open it, search and write everything yourself.

Copilot in Outlook

Microsoft’s assistant summarises and writes emails inside Outlook, if your licence includes it, but it doesn’t work from WhatsApp.

Microsoft and WhatsApp don’t offer a direct connection. Ugo costs €50 a month per person (or €550 a year), excl. VAT, with Outlook Mail and every other app included.

Does Ugo know my Microsoft password?

No. You connect with Microsoft’s official sign-in: Ugo receives an authorisation you can revoke whenever you like, from the portal or from your Microsoft account settings.

No. Every send, forward or folder change is shown to you first and only goes ahead after your “Confirm”.

What’s the difference between Outlook Mail and the Email skill?

They do the same things. Outlook Mail connects with Microsoft sign-in, no password; the Email skill works with any IMAP and SMTP mailbox, such as Gmail or iCloud.
