Trials that expire in silence
You switch on a thirty-day trial and then the customer goes quiet. If you don’t call back at the right moment, with answers to the doubts that came up, the trial ends and the deal ends with it.
You sell business software, licences or SaaS subscriptions to small and medium-sized companies. Ugo keeps demos, trials and renewals in line, answers questions on product features by reading the vendor’s documentation and writes the follow-ups for you.
Software sales agents sell something the customer can’t touch. The deal goes through a demo, a trial period, a list of technical questions, a quote with an annual subscription and then, twelve months later, the renewal. Every step has a date, and every one of those dates, if forgotten, is a customer who moves to a competitor. The best salesperson isn’t only the one with the best demo, but the one who never skips a step.
Whether you’re an authorised reseller of an ERP system, an agent for a local software house or a partner of a SaaS platform, your portfolio grows year by year, and with it the subscriptions to look after. Ugo works on WhatsApp: you ask who has a trial ending, what the stock module costs, which customers renew in November.
Ugo reads the CRM, your diary and your inbox, learns the vendor’s website and public documentation and answers quoting the page. So during a deal you can answer product questions without waiting for presales, and you reach the renewal knowing what happened over the last year. Emails to customers, demo appointments and deal updates only go out after your “Confirm”.
The software sales cycle is long and full of small steps.
You switch on a thirty-day trial and then the customer goes quiet. If you don’t call back at the right moment, with answers to the doubts that came up, the trial ends and the deal ends with it.
Recurring revenue lives on renewals. But the dates are scattered across contracts, Excel sheets and the vendor’s portal, and you find out about the unhappy customer when they’ve already cancelled.
“Does it work with Making Tax Digital?” “Does it handle size and colour variants?” If you have to wait for the vendor’s presales team, the customer is meanwhile looking at another system.
Add-on modules, extra users, first-year discounts, quarterly partner incentives. The terms change often, and putting together an accurate quote without missing a line takes time.
From demo to renewal, here’s how resellers and business software agents use it.
A prospect asks for an online demo. Ugo checks your diary, finds the week’s free slots and creates the appointment. Then it drafts the confirmation email for the customer.

Hale Opticians want a one-hour demo this week. When can I do it?
You’re free: • Wednesday 10:00-12:00 • Thursday 15:00-18:00 • Friday 9:00-11:00
Thursday at 3, online. Send Paula Hale a confirmation too
Here’s what I’ll do: • Create “Software demo – Hale Opticians” Thursday 15:00-16:00, online • Email Paula Hale with the date, time and what we’ll cover in the demo Shall I go ahead?
With Company websites, Ugo reads the website and public guides of the software you sell, and your competitors’ too. It answers on features, modules and differences and names the page, so you can reply to the customer without waiting for presales.

Can our system do stocktakes from a handheld scanner? And what about the one the customer uses now?
Yes: the Stock Plus module supports barcode scanners and stocktakes from a mobile device (page “Stock module”). The competing product only offers it in the Enterprise edition (page “Pricing and plans”).
A scheduled task asks Ugo every Monday for the deals in the “Trial” stage of the CRM with a close date coming up. It messages you first and helps you draft the right follow-up for each one.

Good morning. Trials ending this week: 1. Gallagher & Co Accountants, ends Wednesday 2. Nelson’s Bakery, ends Friday 3. Reid Haulage, ends Saturday
For 1 suggest a quick call to clear things up, move 3 to “Proposal”
Here’s what I’ll do: • Email Gallagher & Co suggesting a 20-minute call • Move “Reid Haulage – Business software” to the “Proposal” stage on HubSpot Shall I go ahead?
Keep your contracts in an Excel file on OneDrive? Ugo reads it and tells you who renews in the coming months, with fee and active modules. It can update the status cell when the customer confirms.

Who renews in November?
From the file “Customer subscriptions 2026”: • Conway Hardware, £1,200/year, 3 users • Lyons Dental Practice, £890/year, billing module • Dale Dairy, £2,400/year, stock and production
Mark Conway as “renewed”
I’ll update the “Status” column for Conway Hardware to “Renewed” in the file “Customer subscriptions 2026”. Shall I go ahead?
Demos, visits and renewals: an example of how Ugo fits into the day.
Ugo sends you the day’s demos and reminds you that the Gallagher & Co trial ends tomorrow.
Before the demo you ask for a summary of the latest emails with the customer and the CRM notes.
The customer asks whether the system handles job costing. Ugo answers by reading the vendor’s documentation.
You dictate a voice message after the visit: CRM note, deal moved to “Proposal”, task to send the quote.
Ugo fills in the quote template on Drive with customer name, modules and fee. You read it and send it.
You ask which of this month’s renewals still haven’t been confirmed and line up the reminders for the morning.
Your tools and the vendor’s, in a single chat.
Many vendors ask partners to register opportunities on HubSpot, Zoho CRM or Odoo. Ugo reads the pipeline, adds notes and moves stages, so the record is always up to date.
With Company websites, Ugo learns the product’s public pages, FAQs and the vendor’s help centre. It answers quoting the page, which helps when you need to reassure the customer.
Renewal dates, fees, users and active modules in one Excel file. Ugo reads it, adds rows for new contracts and updates renewal status once you confirm.
If you also look after customers after the sale, Ugo tells you which of their tickets are open before you visit. You reach the renewal knowing what didn’t work.
Module sheets and objection handling on Notion? Ugo reads them. And if the software you sell offers an MCP server, you can connect that too.
The most useful Ugo features for this job, starting with the first one to turn on. You switch them on from the portal in a few minutes.
Usually you start with an agency agreement with a software house or a partnership contract with a vendor, which includes product training and a territory or customer segment. In the UK, as an independent agent you register as self-employed with HMRC, and the Commercial Agents Regulations generally cover your agency agreement. Knowing your customers’ processes matters as much as knowing the software. Ugo then helps you follow up demos, trials and renewals without missing one.
Book a mid-trial check-in during the demo itself, note the doubts that came up and get back to the customer before the trial ends with precise answers, not a generic “how’s it going?”. With Ugo you set up a “Trial” stage in the CRM and a scheduled task that lists the trials ending every Monday.
Yes, within what’s published. With Company websites, Ugo reads the product website, guides and public FAQs of the vendor and answers quoting the page. If the information isn’t there, it tells you instead of making it up: in that case it’s best to ask presales.
Keep a single list with renewal date, fee, modules and contact, and get in touch with the customer at least 60 days before, ideally with a visit. Ugo reads the list from Excel on OneDrive or from the CRM, alerts you with a scheduled task and drafts the renewal emails, which only go out after you confirm.
Ugo only answers WhatsApp numbers verified in the portal, stores data on servers in Frankfurt and only accesses the Drive or OneDrive folder you choose. Every action that changes something, like an email or a CRM update, needs your “Confirm”. You can disconnect a skill at any time.
Associations, bodies and official sources for the sector: external websites, independent of Ugo.
Connect your CRM, diary and the website of the software you sell. Ugo messages you when it matters, you focus on the demos.
