Hearings that clash
Two hearings at different courts at the same time, an adjournment to record, counsel or an agent to instruct. If the diary isn’t updated in real time, the mistake comes on the worst possible day.
Between hearings, emails, clients and documents to draft, a solicitor’s day is fragmented. Ugo keeps your diary, email and matter files in order on WhatsApp, even while you wait for your case to be called. Before every action, it asks you to confirm.
An AI assistant for solicitors has to be useful exactly when there’s no laptop: outside the courtroom, at the court counter, on the train between hearings. Ugo is a contact on WhatsApp connected to your diary, the firm’s mailbox and your matter folders on Google Drive or OneDrive. Ask it for tomorrow’s hearings, a summary of the morning’s email or the letter before claim precedent, and it answers.
The sole practitioner and the small partnership face the same pressures: hearings to coordinate between colleagues and counsel, deadlines to note as soon as you read them in an order, emails from courts and the other side, clients asking for updates, documents to draft from precedents you’ve already written. And holiday periods, when clients, counsel and colleagues are away but the court timetable keeps running.
Ugo doesn’t give legal advice, calculate procedural deadlines, draft documents for you or file anything with the court. You work out the deadlines: Ugo puts them in your diary when you dictate them and reminds you. It only replies to your verified number, uses servers in Frankfurt and sends nothing without your “Confirm”: client confidentiality stays at the centre.
Law is your job. The organisation around it often isn’t.
Two hearings at different courts at the same time, an adjournment to record, counsel or an agent to instruct. If the diary isn’t updated in real time, the mistake comes on the worst possible day.
Court notifications, orders, emails from opposing solicitors and clients, all in the same inbox. Reading them all carefully takes time, and overlooking one can be costly.
You read an order at court, see there’s a deadline to meet, but the diary is on the office PC. Every step put off until later is one more risk.
Emails and messages asking how the hearing went or when the judgment is due. Answering everyone properly takes the time you need for your files.
From court to the office, with short messages.
You leave the hearing and dictate a voice note with the new date and the direction to comply with. Ugo creates the new hearing and the reminder in your diary with the date you give, once you confirm.

Here’s what I’ll do in your Outlook calendar: • Create “Hearing Robinson v Northbuild – Manchester County Court” on 21 January at 10:30 • Create the reminder “Robinson v Northbuild: witness statements due” on 15 December at 9:00, as you told me Shall I go ahead?
Before going into court, ask Ugo to summarise the email that’s come in. It tells you who’s writing, on which matter and what each one says, so you decide what to read now and what later.

Summarise this morning’s emails
Four emails came in this morning: 1. Manchester County Court: sealed order in Robinson v Northbuild 2. Morris & Co: proposal to meet about settlement in the Collier matter 3. Bentley Ltd: requested documents, 3 attachments 4. The Law Society: update on continuing competence
Tell Morris that Thursday afternoon works
Here’s the email I’ll send to Ms Morris: “Dear Ms Morris, thank you for your email regarding the Collier matter. I can confirm that Thursday afternoon suits us for a meeting. Please let me know what time you would prefer. Kind regards.” Shall I send it?
You need a letter before claim based on the firm’s precedent. Ugo fills it in with the client’s and recipient’s details and creates the new document in the matter folder. You review it, word for word, before using it.

Draft the letter before claim from the precedent for Bentley Ltd against Pennine Logistics, unpaid invoices
Here’s what I’ll do on Google Drive: Create “Letter before claim – Bentley Ltd / Pennine Logistics” from the precedent “Letter before claim – debt”, in the folder “Bentley Ltd – Pennine Logistics”, with: • Client: Bentley Ltd • Recipient: Pennine Logistics Ltd • Subject: unpaid invoices You’ll add the invoice amounts and references yourself. Shall I go ahead?
With a scheduled task, every evening Ugo sends you the next day’s hearings with time and court, plus the travel time between courts. If a colleague needs to cover for you, you already have everything to pass on.

Book me an hour tomorrow at 5pm to work on the Collins file
Here’s what I’ll do: Create the appointment “Work on Collins v Ward file” tomorrow from 17:00 to 18:00. Shall I go ahead?
From court to the office, with diary and email always under control.
Ugo reminds you of the day’s hearings with times and courts, plus the afternoon’s office appointments.
Waiting for your case to be called, you get a summary of overnight email and reply to the other side’s solicitor.
Out of court, you dictate the new hearing date and the direction made: Ugo puts them in your diary once you confirm.
You need a letter from the firm’s precedent: Ugo fills it in with the client’s details in the matter folder.
A client asks for a meeting: Ugo finds a free slot in your diary and creates the appointment.
Scheduled task: tomorrow’s hearings, already in order, with travel times.
Your case management system and the court’s online filing services stay where they are. Ugo works on diary, email and documents.
Any IMAP mailbox, from Gmail to your own domain, or Outlook with Microsoft 365. Ugo summarises, searches by matter or opponent and replies, always after you confirm.
Choose your matters folder: Ugo searches and reads documents, orders and correspondence in PDF and Word only in there, and finds a document for you with one message.
Letters before claim, client care letters, privacy notices, document requests: set up your precedents with placeholders and Ugo creates the filled-in document, for you to review before use.
With Google Calendar or Outlook, each solicitor connects their own account and checks their own hearings. Ugo creates new appointments after confirmation; moving and cancelling stays with you.
If the firm’s case management system offers an MCP server, Ugo can connect and read the information it exposes, such as matters and tasks.
The most useful Ugo features for this job, starting with the first one to turn on. You switch them on from the portal in a few minutes.
A law firm usually runs case management and billing software, the court’s online filing services, email and a diary. The challenge is making them fit a day that happens largely outside the office. Ugo doesn’t replace your case management system: it gives you access to your diary, email and matter files from WhatsApp, even at court.
Ugo can’t. It doesn’t give advice, interpret legislation or case law, or draft documents for you: advice and professional responsibility stay with the solicitor. Ugo fills in precedents you’ve written with the client’s details, finds documents in your matter files and drafts administrative messages, which you read and approve before they go.
Note every deadline as soon as you learn of it, with a reminder a few days before, and check how the Civil Procedure Rules count the days. You do the calculation and check it. With Ugo you dictate the deadline as soon as you leave court and it creates the appointment with the date you give, once you confirm.
Ugo only replies to verified WhatsApp numbers, its servers and database are in Frankfurt, and it only works on documents in the folder you choose. It sends no emails and creates no documents without first showing you what it will do, and voice notes are transcribed without keeping the audio. Which matter files to connect is your decision, in line with the SRA Code of Conduct and UK GDPR.
No. Ugo can search, read, summarise and reply to emails in the firm’s mailbox, including those from courts, but it doesn’t file documents, issue claims or serve anything: for that you use the court’s online services and the usual procedures. Every email Ugo sends goes out only after your “Confirm”.
Ugo costs €50 a month per person or €550 a year, excl. VAT, with every skill included. In a partnership, each solicitor or member of staff has their own subscription and connects their own accounts, so everyone sees only their own diary and email.
Associations, bodies and official sources for the sector: external websites, independent of Ugo.
Connect your diary, email and matter folders in a few minutes. Note your next adjournment with a voice note.
