The AI assistant for fresh food sales reps and agents

In fresh food everything runs to the clock: the order cut-off, the morning delivery, the use-by date on the label. Ugo helps you never miss an order, handle a complaint in time and place stock that can’t wait.

Fresh food sales reps work against the clock. Cooked meats, fresh meat, fruit and veg and ready-made deli lines have short shelf lives, travel in chilled vehicles and must be ordered by a set time to arrive the next day. Ugo is an AI assistant on WhatsApp that helps you keep to those times: he reminds you who hasn’t ordered yet, sums up urgent emails and drafts your messages to customers.

Your customers are butchers, delis, farm shops, supermarket service counters, restaurants and canteens. You see them often, even weekly, and many order by phone or WhatsApp at the last minute. One forgotten order is enough to leave a counter empty, and a complaint about delivery temperature has to be handled straight away, before it turns into a lost customer. All while you drive from one counter to the next with the phone ringing.

Ugo doesn’t monitor chillers or track lorries. He keeps order in what passes through you: orders, rounds, complaints, offers on short-dated stock. He tells you who hasn’t ordered, helps you answer a complaint with the facts straight and works out the quickest round. Before he sends anything to the customer, the logistics team or the principal he shows you the text and waits for your “Confirm”.

The fresh food rep’s daily race

In fresh food, an hour’s delay costs more than anywhere else.

Fixed order cut-offs

If the order isn’t in by the principal’s cut-off, delivery slips a day. And the regular who orders every Tuesday for the weekend is left without stock if you forget to check in.

Short shelf lives and stock to place

A batch of ham or bagged salads close to its date has to be offered straight away, to the right customers, at the right discount. Every day lost is stock heading for return or waste.

Delivery complaints

Wrong temperature, missing cases, weights different from the order: the customer messages you, furious, at seven in the morning. You need to understand, alert logistics and reply, while you’re already on the road.

Frequent, packed rounds

Weekly or fortnightly calls on dozens of customers, often close together but with different opening hours. A badly planned route costs you the best hours of the morning.

Four situations you know well.

Who hasn’t ordered yet, before the cut-off

  4. Here’s what I’ll do: • Reply to Paul: “Hi Paul, thanks for letting me know. What to connect if you sell fresh food

Simple tools, used well, are worth more than complicated software.

Your customer round in an Excel sheet

One sheet per weekday, with customers, opening hours and usual products. Ugo reads it on OneDrive, compares it with orders and adds rows when needed.

The inbox where orders and complaints arrive

Gmail, Yahoo or Outlook: Ugo searches a customer’s emails, sums up complaints, replies and forwards to logistics, always after your “Confirm”.

Your WhatsApp Business

Butchers and deli owners order on WhatsApp. With the WhatsApp Business skill Ugo messages your customers from your number: offers, confirmations, delivery notices.

Your principal’s CRM

If the company uses Zoho CRM, HubSpot or Agile CRM, Ugo logs calls and notes and creates follow-up tasks: complaints stay on record too.

FAQs about fresh food sales reps

How do I avoid missing orders before the cut-off?

Keep a list of regular customers for each day and compare it with the orders received a few hours before the cut-off. With Ugo you can schedule this check: every day at the time you choose he messages you who’s missing, reading the round sheet and today’s emails. You only need to call those.

How should I handle a cold chain complaint?

Gather the facts straight away: delivery note, product, quantity, delivery time, photos if there are any. Alert logistics and reply to the customer with clear timings. Ugo sums up the customer’s email, drafts the reply and the forward and sends them after your “Confirm”. Technical checks and decisions stay with the principal and logistics.

Does Ugo know which products are going out of date in the warehouse?

No, Ugo isn’t connected to the principal’s warehouse, unless its system offers an MCP server. If you receive the list of short-dated batches by email or in Excel, Ugo reads it, tells you which customers you’ve already offered it to and drafts messages for the others.

Does it work if I take orders by voice?

Yes. Once you’ve parked, send a voice note of up to 90 seconds with the customer and products: Ugo transcribes it on his servers in Europe and drafts the order email or the row in the sheet. The audio isn’t stored. Before anything goes out he shows you everything, so you can correct a weight he misheard.

Where does my customer data go?

Ugo’s servers and database are in Frankfurt. He only answers verified WhatsApp numbers, uses only the accounts you connect and doesn’t read your personal WhatsApp chats. With WhatsApp Business he messages your customers only when you confirm.

Schedule the order check and connect email and WhatsApp Business: no customer runs out of stock.
