Forms that need renewing
Without a current registration and consent form, a child can’t train or play. With dozens of members and renewal dates spread over the year, finding out on match day is a problem for everyone, family included.
Training in the sports hall or on the pitch, fixtures at the weekend, parents to update and forms to renew. Ugo reads the club calendar, keeps an eye on renewal dates in the members’ sheet, works out travel times for away fixtures and drafts notices, which go out only after you confirm.
An app for kids’ sports coaches needs to understand how a season works: it starts in September with registrations and consent forms, you train two or three times a week, play or compete at the weekend and finish with tournaments, presentations and end-of-season festivals. Whether you coach as a volunteer at a grassroots club or work as a coach for several clubs, the admin follows you everywhere, often inside the parents’ chat.
Ugo is an assistant on WhatsApp that works with the calendar, inbox and sheets you already use. It tells you whose annual consent form is due for renewal by reading the club’s sheet, works out what time to leave for an away fixture, drafts team selections and sends them to parents from your WhatsApp Business, one by one, after you confirm. A voice note from the touchline is all it takes to record attendance.
On forms, a cautious rule applies: the club needs to know whether a current consent and medical information form is on file, not the details of a child’s health. The renewal date is all the sheet needs; the form itself stays wherever the club keeps it. Below you’ll find dedicated pages for football, basketball, volleyball, athletics and dance, each with examples from that sport’s typical season.
Coaching is the part you chose. The rest comes with it.

Who’s available on Saturday? Who can give lifts? Collecting replies in the chat, between emojis and missed messages, takes time away from coaching and causes misunderstandings just when you need certainty.
A new address every weekend, a meeting time to work out, parents asking how long it takes. Arriving late eats into the warm-up and affects the whole team.
Slots allocated by the council, the leisure centre or the school, space shared with other clubs, sudden changes for events and parents’ evenings. Every change has to reach all the families in the group quickly.
Examples that work for many junior sports, from football to dance.
In the club’s sheet you keep only the name, the type of form and the renewal date. Ugo reads it and tells you who’s due this month, so you can remind parents in good time. With a scheduled task it reminds you every Monday.

Whose consent form is due for renewal by the end of November?
From the “Members 2026-27” sheet, Forms tab: • Andrew Cole – due 3/11 • Noah Fisher – due 18/11 • Sarah Moore – due 29/11 Would you like me to draft a reminder for their parents?
Ugo finds the venue’s address, works out journey times with traffic and helps you set the meeting time. If you confirm, it creates the event in your calendar with the address, meeting time and kick-off.

Sunday we’re playing at Wetherby Sports Centre at 10:30, leaving from Roundhay Park in Leeds. What time should we meet?
It’s about 22 km: 30 minutes with current traffic, usually a bit less on a Sunday morning. If you want to be there 45 minutes early for changing and warm-up, the right meeting time is 9:00. Shall I create the event “Away – Wetherby” on Sunday, meet 9:00 at Roundhay Park, kick-off 10:30?
After training, a voice note with who was missing. Ugo updates the attendance sheet and at the end of the month tells you who trains regularly and who misses often, useful when talking to families too.

I’ll mark the attendance sheet for today’s session: • Absent: Matthew R., George L. • Present: 14 Matthew has missed three sessions in a row. Shall I update it?
The school hall is booked for an event? Ugo writes the notice and sends it to every parent in the group from your WhatsApp Business, individually and only after you confirm.

No St John’s hall on Wednesday, we’re training at Oakfield Academy, same time. Let the U10s’ parents know
I’ll send this to the 15 parents in the U10s group, from your WhatsApp Business: “Good morning, on Wednesday training will be in the sports hall at Oakfield Academy, same time, 17:00–18:30. St John’s hall is booked. Thanks and see you Wednesday!” Shall I go ahead?
Junior coaching often happens after another job. Here’s how it fits in.
On Mondays, a scheduled task: Ugo lists the forms due for renewal in the next four weeks.
At lunch you ask for a summary of the emails from the league or governing body: fixtures, notices, deadlines.
Before leaving you ask how long it’ll take to get to the sports hall with current traffic.
End of training: a voice note with who was missing and the attendance sheet is up to date.
You put together Saturday’s team selection and send it to parents after reading it.
You ask Ugo where the away venue is and create the event in your calendar with the meeting time.
Ugo connects to what the club already uses, without asking anything of parents.
An Excel file on OneDrive with members, age group, subs and consent form renewal date. Ugo reads it, updates cells and warns you about renewals. The date is enough: no health information in the sheet.
Training, matches, competitions and tournaments in a Google or Outlook calendar, perhaps one per group. Ugo reads it all and creates new events, such as friendlies, rearranged fixtures and away trips.
League notices, fixture lists and parents’ questions arrive by email. Ugo finds them, sums them up and drafts replies, which you send after reading them.
With Company websites, Ugo reads the public pages of your club’s website, such as the code of conduct, subs and training times, and helps you answer parents, quoting the page.
The most useful Ugo features for this job, starting with the first one to turn on. You switch them on from the portal in a few minutes.

Discover Ugo for dance teachersThere are dedicated ones, with availability and stats, but they only work if every coach and parent installs the same app. Ugo works from the other side: you use it on WhatsApp, with the calendar and sheets you already have, and parents get normal messages on their own WhatsApp. Nobody has to download anything.
Collect a consent and medical information form before a child starts, renew it each season and store it securely according to the club’s policy and data protection law. For organising, a list with the name and renewal date is enough, with no conditions or other health data. Ugo reads that list and warns you about renewals with a scheduled task.
In most grassroots youth sport there’s no routine medical certificate requirement like in some other European countries: clubs usually ask parents to complete a consent and medical information form instead. Some sports and competitions have their own rules, so always check with your national governing body. Ugo only keeps track of renewal dates.
Yes. With the WhatsApp Business skill, Ugo sends each parent an individual message from your work number, after you confirm. That way nobody sees anyone else’s number, parents with questions reply to you privately and the message doesn’t get lost under dozens of replies.
Yes. You can connect your calendar with every club’s sessions and keep a sheet for each group. Ugo tells the groups apart by the names you use and, if you schedule it, sends you every morning a list of where you need to be and when.
Ugo costs €50 a month or €550 a year per person, excl. VAT. A club creates a single team: each coach who uses it has their own subscription and connects their own tools, while Maps and Company websites are shared across the team.
Associations, bodies and official sources for the sector: external websites, independent of Ugo.
Connect your calendar and members’ sheet and try Ugo with this week’s training sessions.
