Hall slots squeezed together
Ninety-minute slots, a different school hall for each group, the team before you running over. Every change of time has to reach all the families straight away, or someone will be left outside a locked door.
U10 minis on Monday, U12s on Wednesday, U14s at the leisure centre on Friday and a league game at the weekend. Ugo keeps hall times, team selections, away games and messages to parents together, while you focus on dribbling, passing and lay-ups.
An app for youth basketball coaches has to deal with the scarcest resource of all: the sports hall. Slots are allocated by the council, the leisure centre or the school, often in blocks of an hour and a half, shared with volleyball and other clubs, and they change whenever there’s an exam or an event. In mini basketball, at U10 and U12, the game is a way of learning; in junior basketball, from U14 upwards, come leagues, scoresheets and away games.
Ugo is an assistant on WhatsApp that uses your calendar, inbox and the club’s sheets. Ask what time you’re playing on Sunday and in which hall, and it works out the meeting time too. Dictate the U14 team selection and it sends it to every parent from your WhatsApp Business, one by one, after you confirm. After training, a voice note is enough to update attendance.
In mini basketball, festivals, camps and tournaments are part of the journey: Ugo helps you not lose invites in your inbox and organise who’s driving. As the children grow and junior leagues arrive, it gives you a hand with attendance, minutes and away games. The spirit stays the same: everyone plays, learns the fundamentals and has fun together in the hall.
The hoop doesn’t move. The hall times do.

The junior fixtures come out at the start of the season, then clubs agree to bring games forward or put them back. Keeping the calendar up to date and telling parents about every change becomes a job in itself.
A school sports hall at the end of a side road, entrance round the back, tricky parking. Parents ask for the address and journey time every time, and the team has to arrive in time to warm up.
Invites to festivals, tournaments and get-togethers for the U10s and U12s arrive by email, each with different rules and forms. Replying, collecting names and organising lifts takes time.
Typical situations, from mini basketball to junior leagues.
The leisure centre moves your slot for an event: Ugo creates the new session in your calendar and sends the notice to the group’s parents from your WhatsApp Business, one by one, after you confirm.

Friday the U12s are training at Parkside School from 18:30 to 20:00 instead of the leisure centre. Let the families know
I’ll create “U12s – Parkside School” on Friday 18:30–20:00 in your calendar and send this to the 14 parents in the group, from your WhatsApp Business: “Hi, on Friday U12s training is at Parkside School, from 18:30 to 20:00. Please remember clean indoor trainers and a water bottle. Thanks!” The leisure centre session needs removing from the calendar by hand. Shall I go ahead?
Type the name of the hall and the tip-off time: Ugo finds the address, works out the journey with traffic and suggests a meeting time. If you confirm, it creates the event with all the details.

Sunday U14s away at Beeston, Chilwell Olympia, tip-off at 11:00. We’re leaving from West Bridgford
From West Bridgford to Chilwell Olympia in Beeston: about 8 km, 15 minutes with current traffic. With an hour for changing and warm-up, meet at the hall at 10:00 and leave at 9:40. Shall I create the event “U14s – away at Beeston” on Sunday, meet 10:00, tip-off 11:00?
Ugo searches your email for invites to mini basketball festivals and tournaments, sums them up with date, age group and sign-up deadline and drafts the reply to the organiser, which you send after reading it.

Have any mini basketball festival invites come in for the U10s?
Yes, 2 emails: 1. Christmas Minis Festival – Derby Trailblazers Juniors, Sunday 13 December, 9:30–12:30, sign up by 30/11 2. County minis day – Saturday 16 January, details to follow Shall I reply to Derby confirming you’re coming with 12 children?
After training or a game, dictate attendance and minutes played. Ugo updates the team sheet and, before selection, tells you who has trained most that week: one more piece of information when choosing the twelve on the scoresheet.

I’ll update the “U14s – attendance” sheet, Thursday’s session: • Absent: David P., Samuel O. • Present: 13 This week David has done 1 session out of 3. Shall I go ahead?
A day job, then the sports hall in the evening.
Scheduled task: Ugo sends you the day’s sessions, group by group, with hall and time.
An email arrives about a rearranged game: Ugo sums it up and creates the new date in your calendar.
At lunch you ask for this month’s mini basketball festival invites and draft the replies.
Before the U10 minis you ask for the drills noted in this week’s plan on Drive.
U14s done: a voice note with who was missing and the sheet is up to date.
You send Sunday’s team selection to parents, after reading it over.
Ugo works with what you already use in the hall and in the club office.
One calendar per group, with the hall as the event location. Ugo reads times and addresses, finds free slots for a friendly and creates new events.
An Excel file on OneDrive with roster, shirt numbers, attendance and minutes played. Ugo adds rows after every session and sends you the table as an image.
One document per week with drills, fundamentals and goals for each group. Ugo reads it before training and adds the notes you dictate afterwards.
League notices, invites and parents’ questions. Ugo finds them and sums them up, and drafts replies to send after you confirm.
The most useful Ugo features for this job, starting with the first one to turn on. You switch them on from the portal in a few minutes.
In mini basketball you mostly need tidy timetables and clear communication with families, more than stats. Ugo works on WhatsApp with your calendar and sheets: it tells you where you’re coaching today, drafts notices to parents and records attendance from a voice note. Families get normal messages, with nothing to install.
Mini basketball introduces children to the game roughly up to the age of 12, usually in U10 and U12 groups, with smaller teams, lower hoops and simplified rules; after that come the junior age groups, such as U14, U16 and U18. The exact ages and rules are set out in Basketball England’s official documents, updated every season.
Quickly, and in a way nobody misses: an individual message gets through better than one in the group, which scrolls away. With Ugo you dictate the change, it creates the new session in your calendar and sends the notice to every family from your WhatsApp Business after you confirm. You remove the original session from the calendar yourself.
Ugo isn’t scouting software and doesn’t follow the game live. If after the game you dictate each player’s points, minutes or fouls, it adds them to your Excel sheet and gives you totals and averages when you ask. For the youngest players, attendance and minutes are usually more than enough.
Start from one goal per session, for example dribbling or passing, and build themed games with just a few rules. One document per week helps keep things consistent. Ugo reads your plan on Drive, reminds you what you did last time and adds the notes you dictate after training. You choose the drills.
Ugo only answers verified WhatsApp numbers, keeps data on servers in Frankfurt and only works in the Drive folder you choose. In team sheets it’s best to keep only what you need, such as names, parents’ contacts, attendance and form renewal dates, with no health data.
